This notice describes the private KnowYourColours prototype. It is a working draft, not a claim that the project has completed a privacy compliance review.

Information used in this prototype

The customiser uses your chosen team, name and number to display a design in your browser. Typing in the preview does not itself save an order. Use fictional names when testing.

When the owner requests a print file, the selected design is sent to the server to generate a 3MF download. Existing saved test or order records may contain design choices, quantities, an email address, status information and timestamps. Previously processed payment records, if any, may also contain customer and delivery information.

Sign-in and hosting

The site is hosted through ChatGPT Sites. Sign-in is handled by the hosting platform; this application uses an authenticated user identifier to check owner access. Hosting providers may process access, security and diagnostic information under their own policies. The application does not receive your ChatGPT password.

Website infrastructure uses OpenAI/ChatGPT Sites and Cloudflare services for hosting and storage. Provider locations, retention and contractual privacy arrangements need to be confirmed before a public launch. The current application code does not add advertising pixels or marketing analytics.

Orders and payment details

Checkout asks for your name, email, phone number, Australian delivery address and optional order note, alongside your personalised design and quantity. These details are sent to our server when you continue to payment and are stored to manage your order. Contact and delivery details are shared with Square for checkout and receipts. Card details are entered on Square’s hosted checkout, not collected by this website. Square hosted checkout sends a payment receipt to your email after successful payment when the service is activated. A separate PDF invoice is not generated by this website. Phone numbers are collected for order or delivery contact; this website does not currently send SMS confirmations. Payment processing is not active until Square setup is complete.

Access, corrections and retention

For questions about information you supplied in this private review, contact the project owner through the channel used to arrange the review. A public privacy contact, retention schedule, deletion process and any overseas disclosure details must be confirmed before launch. No fixed automatic deletion period is promised in this draft.
